Director of Program Management

Director of Program Management

Summary

Reports to: VP of IT

Coordinate the internal operating rhythm of the company — the systems, tools, processes, and cadences that allow everyone else to do their jobs efficiently and without friction.

Own all program management across the company’s internal operations, ensuring priorities are coordinated, dependencies are managed, and initiatives move forward.

Responsibilities

Internal Systems & Tooling

  • Own the integration and effective use of the company’s internal software stack, working responsively with Procurement, Technology, ELT, and internal IT teams.

  • Eliminate tool sprawl by rationalizing overlapping subscriptions and establishing a single source of truth for key data, including customers, contracts, assets, and people.

  • Manage corporate IT operations, including provisioning, access management, offboarding, and security basics, either through internal staff or an MSP.

  • Build and maintain simple dashboards and reporting that give leadership visibility into company health without requiring manual data gathering.

  • Interface with and/or manage external security firms to ensure a strong security posture across internal systems.

Processes & Procedures

  • Document and standardize core workflows, including sales-to-contract handoff, procurement and purchasing approvals, expense policy, vendor onboarding, invoicing, and collections support.

  • Create and maintain the company’s SOP library, ensuring procedures are easy to find, understand, and follow.

  • Identify recurring operational breakdowns — including dropped handoffs, duplicated work, and approval bottlenecks — and address them at the process level.

  • Own change management for new processes and tools, including communication, training, rollout, and adoption.

Cross-Functional Coordination

  • Act as connective tissue between Finance, HR, Legal/GC, Sales, and Infrastructure, ensuring effective handoffs and preventing work from falling between departments.

  • Coordinate with the GC on policy implementation, including handbook rollouts and compliance procedures.

  • Coordinate with Finance on budgeting, procurement, and operational discipline.

Qualifications

Required Qualifications:

  • 7+ years of experience in operations, program management, business operations, or a related function, ideally in a growing or complex organization.

  • Demonstrated experience owning cross-functional programs from definition through implementation and ongoing execution.

  • Strong experience designing, documenting, and improving business processes and operating procedures.

  • Experience managing or integrating business systems and software across multiple functions, with a track record of reducing unnecessary tools and improving adoption.

  • Working knowledge of corporate IT operations, including user provisioning, access management, onboarding/offboarding, and basic security practices.

  • Experience working with or managing external technology, IT, or security providers.

  • Strong project and program management skills, including the ability to manage multiple priorities, dependencies, stakeholders, and deadlines.

  • Excellent organizational and communication skills, with the ability to work effectively across Finance, HR, Legal, Sales, Technology, and Infrastructure.

  • Strong judgment and attention to detail, particularly around systems, controls, process compliance, and operational risk.

  • Comfortable operating with a high degree of autonomy and ambiguity; able to identify problems, develop practical solutions, and drive them through implementation.

  • Strong written communication skills and an ability to turn complex or inconsistent processes into clear, usable documentation.

Preferred Qualifications:

  • Experience in a high-growth company or environment where processes and systems are still being built and standardized.

  • Experience serving as an internal operations or business operations leader with broad cross-functional responsibility.

  • Experience implementing or administering systems such as ERP, CRM, HRIS, procurement, expense management, contract management, or collaboration platforms.

  • Experience managing an MSP, outsourced IT provider, or external security partner.

  • Experience with change management and organizational adoption of new systems and processes.

  • Experience building lightweight dashboards, reporting, or operating metrics for executive leadership.
